1. Tips and checks for quarterly module submission: 0700 (UTC/GMT), Thursday, 13 November 2008

  • Before finalising your module submission, please read the document on 'Preparing your quarterly submission to The Cochrane Library' under 'CRG resources' at www.cc-ims.net/Projects/newIMS. This is an update of the document in the Phase 2 User Guide to reflect the changes because we can only release reviews for publication now if they are RevMan 5 files. The updated document will be included in the update of the Phase 2 User Guide.
  • The deadline for the quarterly module submission is displayed in your local time on the event listing in the Calendar on the Organizer tab in Archie.
  • Important: Before marking a new protocol for publication, please delete all Events in ‘What’s new’ and ‘History’. For new full reviews for publication, please retain the What's new Event ‘Amended - converted to new Review format’ but delete the History Event 'New citation: conclusions changed - Substantive amendment' if this Event refers to the first published version of the protocol. The Issue in which the protocol was first published (see 'Dates' in RevMan 5) will be published instead.

2. Reminders

  • Please remember that all published reviews (including withdrawn reviews) that have not been converted to RevMan 5 and marked for republication following the 13 November 2008 quarterly module submission deadline will automatically be converted to ReMan 5 for publication in The Cochrane Library 2009, Issue 1. Please refer to IMS Bulletin (No. 78) for full details - see www.cc-ims.net/Projects/newIMS/Bulletins/.
  • Please check that you have no duplicates to resolve in Archie (Tools > Resolve Duplicates...). If an unresolved duplicate is causing you a problem, please contact your IMS Support person for assistance.
  • Be sure to check the Publication Report in Archie (right-click CRG name and choose Reports > Publication Report) to ensure that new, amended and updated reviews marked for publication in Issue 3, 2008, will generate the correct flags in The Cochrane Library when published.
  • Remember to check the Document Roles in Archie against the citation byline before marking a review for publication.
  • Contact your IMS Support person if you are unsure if you have assigned the correct Event to a specific review and we will check it in Archie.

3. Schedule for November 2008 quarterly module submission

The schedule for next week's quarterly module submission is as follows.

  • 13 November, 0700 GMT: submission deadline. All modules locked by Wiley.
  • 14-17 November: automatic conversion by the IMS team. Please note that Archie may be unavailable for short periods during this time.
  • 18-19 November: modules retrieved by Wiley. Feedback reports sent to CRGs.
  • 20-21 November: possible resubmissions by CRGs in response to Wiley feedback reports.

Please ensure that there is somebody available to receive your report from Wiley on 18 and 19 November, and who can respond to queries. If there is nobody available to answer queries about your quarterly module submission during the week commencing 17 November, it is important that you inform your IMS Support person now.

4. Question of the week

Question: Must I insert an Amendment Event before marking a review for republication if all I want to do is correct a typing error?

Answer: Yes. It is important to create an Event to describe why you are marking a review for republication, even if it is just to correct a typing error, so that it is transparent to the reader of the review why the review has been given the status "edited". The Event Description should be brief; for example, "Typographical error corrected".
