1. Benefits of the new IMS for Co-ordinating Editors and Trials Search Co-ordinators: new documents

Two new documents have been prepared by members of IMS Support to briefly describe the benefits of the new IMS for Co-ordinating Editors and Trials Search Co-ordinators. They will appear on the IMS website along with the current document describing the benefits to review authors. As soon as these new documents are uploaded, we will send a message to Adminors to let you know.

2. IMS Questions of the week

(a) QUESTION: Why do I have duplicate records for people for whom we are not their Primary entity? I thought the Administrator of the Primary entity was the only person who would see these and make the decisions.

ANSWER [Jacob Riis]: We have made the duplicate resolving 'looser' during the transitional phase in case the Primary entity has not been correctly assigned. This means that the list you see will include not just those you 'must' resolve but also others that need resolving, not necessarily by you but you may want to resolve them. In the new IMS you will see only those duplicates that have your Group as the Primary entity.

For more details, see 'Import routine details' in the Contact Database Help file and 'The relationship between review authors' contact details in RevMan, the Contact Database and The Cochrane Library' in the CRG FAQ.

(b) QUESTION: In the new IMS, if someone edits a person's contact details for a person with roles in other entities, will I know?

ANSWER: Yes, all the entities for which a person has a role can be notified automatically about changes made to that person s contact details. Entities can choose which of their roles should trigger a message. For example, they could choose to be notified if changes are made for authors and editors, but not for people on their mailing list.

(c) QUESTION: I am ensuring that all the Issue numbers for my published protocols and reviews are entered for the November module. However, what do I enter in the 'Issue first published' for a protocol if the review overtook the protocol, ie the protocol was approved just after one module submission and the review was approved in time to be included in the next module resulting in the protocol not being published separately?

ANSWER: You should enter the same Issue number for both the protocol and the review.
